|    Crew Team Chapters - Sponsored Events policies
Track Chic, Inc. encourages its members to share their passion for Speed, Style & Sisterhood with others and:
  1. Plan local events which involve other Crew Teams or individuals;

  2. Use specific Crew Team names to publicize such gatherings; and

  3. Notify Track Chic, Inc. of the event if it is large enough that it may conflict with a Track Chic, Inc. event already in the planning stages.

GOOD EXAMPLE: Crew Chief A decides to organize a bus caravan to the next big race. She wants to invite other nearby Track Chic Crew Teams to join her group. She publicizes the event by stating that her Crew Team, the Marietta Mechanix of Track Chic, Inc., is planning to charter buses. The bus company wants a guaranteed minimum number of tickets sold if they are going to add an extra bus to the caravan for A's friends. Crew Chief A guarantees that if fewer than 300 people come, the Marietta Mechanix will have to pay whatever additional fees are due. Crew Chief A makes sure that the bus company knows that this is the Marietta Mechanix' responsibility, not the responsibility of Track Chic, Inc. In addition, due to the size of this event, Crew Chief A notifies Track Chic, Inc. to ensure that her bus trip is not going to interfere with any Track Chic, Inc. events already in the planning stages.
Track Chic Crew Teams may not:
  1. Plan events that involve negotiations with 3rd parties, such as hotels or travel agencies, etc., using the Track Chic, Inc. name;

  2. Publicize a Crew Team-sponsored event as a Track Chic, Inc. event; or

  3. Plan events that may be considered offensive or otherwise questionable in nature, as determined by Track Chic, Inc., and use their affiliation with Track Chic, Inc. to publicize such an event.

BAD EXAMPLE: Crew Chief B decides that she is going to arrange for a banquet for her crew and others after a race. She contacts a local restaurant to arrangefor a discounted price for her attendees. She promises a large number of diners in order to get the best rate possible, telling the restaurant employee that this is a Track Chic, Inc. event. She does not mention that this event is sponsored by her Crew, which will be responsible for the costs, and that this event is not an official Track Chic, Inc. event, and that she is not an official representative of Track Chic, Inc.
Sponsorship: Track Chic, Inc. reserves the right to control and/or impose the use of sponsorships on any events using the Track Chic, Inc. name, logo, or other Track Chic, Inc. identifier.

Disclaimer of Liability: Track Chic, Inc. disclaims any and all liability arising from or in any way related to any event sponsored by an individual Track Chic Crew Team. Such events are not organized by Track Chic, Inc. and Track Chic, Inc. hereby disclaims all legal responsibility for any claim arising out of the planning, preparation, or occurrence of said events.

Indemnification: By hosting a Track Chic Crew Team sponsored event, the Track Chic Crew Team and the organizers of said event shall indemnify Track Chic, Inc. for any and all liability arising out of or relating to said event. Such indemnification shall include without limitation the costs Track Chic, Inc. incurs in legal fees in defending itself from such claims.

IMPORTANT: Track Chic, Inc. would very much enjoy supporting your efforts planning a large event (involving more than 500 people). However, you must notify Track Chic, Inc. before proceeding, as we may already have an event slated for a similar time and place. This policy exists in order to eliminate the risks involved on both sides.
